Accounts Payable Bookkeeper
Position: Accounts Payable Bookkeeper

JOB SUMMARY
The Accounts Payable Bookkeeper is responsible for processing payables for payments, compiling and maintaining accounts payable records and assisting with other accounting, clerical or administrative functions by performing the following essential duties and responsibilities. The Accounts Payable Bookkeeper is expected to follow all accounting policies and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties deemed appropriate may be assigned by the Assistant Controller, Senior Assistant Controller, or Controller. The Accounts Payable Bookkeeper is responsible for:
- Opens and date stamps incoming purchase orders, invoices, packing slips, and vendor statements.
- Audits all documents to ensure they are complete, including general ledger coding and signatures, matching purchase orders, invoices, packing slips, and vendor statements.
- Researches discrepancies, if any, and follows up with appropriate department contacts to resolve discrepancies in a timely and complete manner.
- Inputs invoices into the general ledger system for recording and processing of payment.
- Prints all accounts payable reports and maintains electronic and physical accounts payable document filing systems.
- Researches and responds to all internal departmental and vendor inquiries.
- Prepares weekly A/P unposted batch report with supporting documents for review by the Assistant Controller. Makes corrections accordingly.
- Coordinates timing of the review to ensure adequate time to prepare and mail out checks by the deadlines.
- Prepares A/P batches and prepares checks on the 15th and last day of the month for recurring payables, i.e. utility bills, annuity payments, and monthly maintenance bills.
- Generates Aged Accounts Payable listing and compares with pending invoices. Review and follow up on all documents outstanding within a week to ensure the accounting office has not misfiled documents or overlooked procedures.
- Prepares petty cash disbursements for approval and distribution each Friday. Records disbursements in the monthly unposted journal entry batch in the general ledger system.
- Manages petty cash including timely disbursements and replenishments. Balance petty cash.
- Records interdepartmental transfers per approved purchase orders received in the monthly unposted journal entry batch in the general ledger system.
- Assists in monthly closings.
- Assists with accounts receivable and special projects, as necessary.
- Maintains files on purchase order green copies and department logs. Distributes purchase orders and logs per purchase order policies and resolves problems with department heads or consults with the Assistant Controller.
- Obtains monthly postage and copier charge reports, and records journal entries to the general ledger.
- Maintains accounting functions for the Agency Fund (classes, clubs, miscellaneous MPI-affiliated organizations).
- a) Processes expenditure requests and reimbursements for payment on Friday by noon or for mail pick up, whichever is earlier, following the general accounts payable process where applicable.
- b) Records cash receipts in the monthly unposted cash receipts journal in the general ledger system as items are received.
- c) Records student bank account withdrawals and petty cash disbursements to the monthly unposted journal entry in the general ledger system as items are received.
- d)Reconciles petty cash with the petty cash worksheet. Cash must be balanced at the end of each day.
- Provides all unposted journal entries with the supporting documents for review by the Assistant Controller.
- Assists with other accounting and administrative tasks as assigned by the Controller and/or Assistant Controllers.
OTHER RESPONSIBILITIES
- Assist with maintaining and purging records as specified by the record retention policy. Label and file records for storage. Assist with moving toward electronic record retention.
- Assist with general office functions, including but not limited to, assisting visitors, sorting the mail, placing postage on the mail, and general office cleaning as needed for health and safety concerns.
- Assist with school functions with advance notification as needed.
- Assisting with projects to increase efficiency and accuracy of procedures and processes related to primary areas of responsibility.
- Assisting with other duties as assigned.

Security Officer (Swing Shift)
Position: Security Officer (Swing Shift)

JOB SUMMARY
Security is the first Mid-Pacific Institute employee that the public comes into contact with for entrance onto campus and/or to seek information. Security is responsible for, but not limited to, monitoring campus entry and exit points, patrolling the premises of the school campus to detect suspicious activity, and assisting administration, faculty, staff, students, and visitors to ensure the safety of all individuals and the protection of all assets.
Security shall provide information and requests that comply with safety and other Mid-Pacific Institute policies as directed on campus.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- This position requires excellent communication, verbal and writing skills, professional approach and appearance, and the ability to apply good judgment in the performance of the duties.
- Patrol school premises to prevent and detect signs of intrusion and/or suspicious activity.
- Patrol school premises to ensure the security of doors, windows, and gates.
- Monitor and authorize entrance and departure of employees, visitors, and other persons to guard against unwelcome guests who may pose a threat to the security of the campus.
- Keep a log of all visitors' vehicle license plates and the location of the visit.
- Refuse to admit persons who do not comply with entrance requirements.
- Provide information and directions to visitors.
- Write reports of any irregularities, such as equipment or property damage, theft, presence of unauthorized persons, or unusual occurrences.
- Maintain a working knowledge of the locations of all departments, buildings, and access routes.
- Maintain a working knowledge of the operation of the camera system, fire alarm, portable radios, and other equipment as deemed necessary.
- Report outages of the camera system, power outages, or unusual circumstances that could harm the camera and computer systems to the appropriate administrator or supervisor.
- Maintain knowledge of Mid-Pacific Institute's emergency response plans and respond accordingly to any emergency or unusual situation.
- Check vehicles in school parking lots for authorized parking decals. Issue parking violation warnings and tags when necessary.
- Warn and enforce persons for infractions or violations, escort violators from premises, and call appropriate authorities when necessary.
- Call emergency first responders (i.e. police, fire, ambulance) in cases of emergency, such as fire or presence of unauthorized persons.
- Maintain a log of all found property turned over to Security. Secure property in a container held at the Guard Shack. iPads must be turned over immediately to IT. If iPads are found after hours, keep them in the guard shack until it is claimed or until IT reopens.
- Facilitate the efficient and safe flow of pedestrian and vehicular traffic through professional and effective traffic control.
- When on duty, be familiar with school activities and responsibilities.
- Communicate emergency, safety, suspicious, criminal activities to the appropriate administrator or supervisor promptly.
- Must be able to communicate clearly with the use of two-way radios.
- Keep information confidential; convey information only to the appropriate personnel.
- Handle complaints, settle disputes, and resolve conflicts in dealing with visitors on campus.
- Report any unsafe equipment, structure, situation, condition, or circumstance to the appropriate administrator or supervisor.
SCHEDULE
Must be able to work weekday swing shifts and be flexible to work weekend and overnight shifts on occasion.

Visual Arts Studio Assistant (Part-Time)
Position: Visual Arts Studio Assistant
Type: Part-time
JOB SUMMARY
In this role, the Visual Arts Studio Assistant supports the visual and digital arts education for 6- 12 programs at Mid-Pacific. This dynamic position allows an individual to engage in many art forms while supporting the growth and development of young artists. The assistant works with the visual arts faculty on a variety of classroom administration tasks, studio management needs, and art gallery exhibitions. Workspaces primarily include the ceramics classroom and the gallery, yet the 2D/3D Middle School and High School classrooms, the digital photography lab, and the digital arts classes in the technology center will need on-call assistance. The assistant can conduct work for up to 15 hours per week.
ESSENTIAL DUTIES / RESPONSIBILITIES include: (Other duties may be assigned)
- Primarily responsible for supporting and maintaining the ceramics studio and must be available to maintain other studios as needed.
- Responsibilities in the ceramic studio include mixing clay, making and screening glazes, loading the kilns, and grinding shelves or applying kiln washes to shelves. General ceramics assistance includes helping with storing, lifting, and organizing raw materials (typical weight is 50 lbs.).
- Manage the gallery by assisting with the installation of artwork, scheduling the use of the space, attending gallery events, assisting with social media posts, creating promotional materials, or preparing refreshments for visitors. Occasionally, the assistant cleans, organizes, or makes basic repairs of walls or equipment between exhibits.
- Perform basic administration tasks, including but not limited to assisting with activity proposals, submitting maintenance requests, making copies and printing, and maintaining communications with support staff.
- The assistant is expected to meet periodically with members of the faculty to plan upcoming projects and timelines.
- The assistant must have strong, clear, and professional communication skills, tending to email and written correspondence in a timely manner.
- Depending on the individual's interest, opportunities for mentorship and to engage directly with students, gaining experience in a classroom, can be made available.

Director of Alumni & Parent Engagement
Position: Director of Alumni & Parent Engagement

JOB SUMMARY
The Director of Alumni & Parent Engagement is a dynamic leader, responsible for envisioning, executing, and growing a comprehensive, layered, and multi-faceted engagement program that effectively enhances relationships with the School’s alumni and facilitates a culture of connection and investment. The Director collaborates with all teams within Institutional Advancement (IA) and departments across campus (Divisions, Admissions/Enrollment Management, Facilities, etc.) to promote and support lifelong and meaningful engagement for our alumni through volunteer involvement, strategic events, effective communications, and giving back to Mid-Pacific.
The alumni community currently consists of approximately 12,000 alumni; establishing alumni chapters across the state, continent and internationally is a current aspiration.
The Director will also supervise MPIAA (Mid-Pacific Institute Alumni Association) and NOP (Na ‘Ohana Pueo).
The position of Director of Alumni & Parent Engagement is a senior member of Mid-Pacific’s Institutional Advancement office and oversees all aspects of the IA’s alumni engagement and supports NOP (10-15% of position) efforts.

- Facilitates pathways for student/alumni interaction, highlighting the benefits of the Mid-Pacific’s alumni network through mentoring, networking, and presenter opportunities
- Supports parent engagement and parent volunteer efforts for Mid-Pacific Fund and Na ‘Ohana Pueo to build community and philanthropic support
- Partners with the Admissions/Enrollment Management team to spearhead the introduction of alumni involvement in the admissions process
- Effectively communicates with both IA and volunteer leadership (including the Board of Trustees, MPIAA and associated councils, NOP, and Development Committee) regarding strategies and progress
- Develops, oversees, and balances the budget for Alumni Engagement, Reunions, and Special Events
- Cultivates a professional network of colleagues at other institutions to serve as a resource for new ideas and stays abreast of alumni/parent relations best practices, industry trends, and emerging technologies
- Contributes to the overall success of the Institutional Advancement office by working on special projects and performing all other duties and responsibilities as assigned by the Vice President of Institutional Advancement

QUALIFICATIONS and/or EXPERIENCE
Minimum Qualifications
- At least seven years of progressive experience in non-profit or educational fundraising, preferably with experience in alumni and/or community relations and engagement
- Demonstrated ability to lead, motivate, and effectively develop and grow a dedicated group of volunteers
- Employs a constituent-centric and growth mindset that informs daily and strategic decisions
- Experience establishing and measuring against performance metrics for engagement, monitoring retention and growth
- Team player with a positive attitude and proactive approach
- Demonstrated experience planning and executing medium to large events
- Demonstrated ability to both independently and collaboratively build productive and meaningful relationships on behalf of institutions
- Experience leading and engaging all stakeholders - leadership, trustees, colleagues, faculty, parents, students, alumni, partners, and volunteers

PHYSICAL DEMANDS
Our campus consists of multiple buildings on 44 hilly acres that requires frequent walking including uphill and stairs. The individual is required to talk and hear, often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee may be required to stand, walk, lift and carry approximately 10-15 pounds, reach with arms and hands, climb or balance, and to stoop, bend, kneel, crouch or crawl. Requires close vision.
